Work at UCF Student Health Services

UCF Student Health services (SHS) is an accredited outpatient medical facility on UCF Main Campus that employs both full-time and part-time students and professionals. SHS is comprised of various moving parts, departments, and employees, including clinical staff, administration, medical records and health information management, business professionals, appointments staff, and more. You can view general overviews for certain jobs within each department below. Please keep in mind that not all roles may be available at the time of your application.

Our Appointments Clerks have an assortment of important responsibilities. In addition to receiving incoming calls to schedule or reschedule appointments with the appropriate providers, they advocate for patients, refer urgent care patients to the Nurse Facilitator for immediate medical care, check in patients with scheduled appointments, and assist our Nurse Facilitators with patients arriving after the their scheduled appointment times.

They also ensure and verify each patient’s eligibility to receive services, in-network health insurance status, and accuracy of account information within the electronic health record (EHR). At times, appointments clerks may need to disseminate HIPAA-compliant information and interpret policies and procedures to our patients.

Medical Records

Our medical records, or Health Information Management (HIM) department, is comprised of many roles, including data entry clerks, program assistants, and front desk receptionists. All employees are expected to adhere to FERPA and HIPAA policies.

In addition to performing general clerical duties, such as answering busy phone lines, scanning records, sending and answering a large volume of emails, and processing faxes, Front Desk Receptionists assist walk-ins to the HIM department with immunization and medical records questions and requests.

Beyond the responsibilities of Front Desk Receptionists, our Student Program Assistants act as liaisons between our medical records specialists and patients. They interpret immunization policies to patients, accept and approve forms and documentation, and assist at incoming student orientation sessions by answering questions related to immunization requirements and the submission process.

Data Entry Clerks are responsible for the accurate and timely assignment of large volumes of medical records into our electronic health records, as well as quality assurance performed to ensure the accurate assignment of records to the correct student/patient account. These roles require excellent attention to detail, accurate typing skills, and a working knowledge of Excel spreadsheets.

Employees in these positions will gain hands-on experience and knowledge that they can utilize in their own lives and will prepare them for future jobs.

Employees in specialized business roles will work one-on-one with our student population and patients to provide insurance and eligibility benefits, use their analytical skills to work with accounts receivable and patient receivables to bring in revenue for the health center, and know how tot ask the right questions and get the right answers with patients’ insurance companies.

Our cashiers assist patients with the check-out process and collect payment for their medical services, including any pharmacy or over-the-counter (OTC) charges, all while providing excellent customer care. Our cashiers process payment transactions both in-person and over the phone, which may involve answering patient account inquiries, assisting with account reconciliation, and balancing payment transactions for deposit.

Additionally, our cashiers assist with stocking and inventory of the Pharmacy Convenience Store. This involves stocking and cleaning shelves, counting inventory, and other duties as assigned by the Retail Manager or designee.

Pharmacy clerks are responsible for patient check in at the Pharmacy counter, collecting patient’s insurance information, greeting patients, and assisting patients with questions about over-the-counter items.
